If you have trouble in starting to place an order in English, this is a good practice to know
the ways to order for your company. This is particularly for those who work as sales or
procurement specialists.

Here are words for focus before watching:
1. client (n.) 客戶 (not similar to “customer”)
2. be in charge of = be responsible for    負責
3. place an order    下訂單
4. COD = cash on delivery  貨到付款
5. grocery (n.)食品雜貨(店)
6. chain store 連鎖店
7. inventory = stock 存貨
8. be in stock <---> be out of stock

     

 

Self oral practice to place an order:

1. This is XXXXX (your English name) speaking from XXXXXX (your company name).
     (This is used over the phone.) 
     Example: This is Laura Ames from AI Groceries.

2. I’m calling to place an order for XXXXXX (products or materials you need).
     Example: I’m calling to place an order for some instant noodles for our chain of stores.

3. We’re going to need XXXXXX (quantity and units) to ship to XXXXX (somewhere or your
     company’s warehouse).
     Example: We’re going to need 1000 boxes to ship to our stores outside the country.

4. Can you ship out XXXXXX first? I’ll need XXXXX (how much quantity) to XXXXX (somewhere).
     (This is used when a factory doesn’t have enough products/materials in stock, but you’re
      going to need them soon.)
     Example: Can you ship out the other boxes first? I’ll need 400 to go to our Japanese
     warehouse.

5. Will you be able to ship XXXXX (products/materials) within XXXXX (duration/time)?
     (This is used when you need something soon.)
     Example: Will you be able to ship the shrimp-flavored noodles within seven days?

6. We really appreciate it. / We really appreciate your help.
     (This is used after someone helps you, and you show your appreciation.)

 

Self oral practice if you are in charge of taking orders:

1. XXXXXXX (your company name), this is XXXXXX (your English name) speaking. How can I
     help you?
     (This is used over the phone.) 
     Example: Super Tasty Noodle Factory, this is Allen Gibson speaking. How can I help you?

2. How many XXXXXX(quantity or units) would you like? Are there any XXXXXXXXX (clients’
    requirements) that you want?
    Example How many boxes would you like? Are there any particular flavors that you want?

3. Let me pull up your order history and see what we have in our inventory.
    (This is used when you’ve ever had business with your clients to check what clients bought
     before and your company’s inventory level.)

4. I’m working on another order right now, but I should be able to tell you in a few minutes
    or so. Can I give you a call right back?
    (This is used when you are busy with something but you don’t want to let your clients
     feel bad.)

5. We have XXXXX in stock. / Our XXXXX are out of stock.
     (This is used to say if your company has products/materials on hand or not.)
     Example: We have most of what you need in stock.

6. I will/won’t charge you shipping for XXXXXXXX when they go out next week.
    (This is used to explain shipping charges to your clients.)
    Example: I won’t charge you shipping for the 200 boxes of shrimp noodles when they go out
    next week.

7. Thanks for your business!
    (This is used to show your appreciation after your clients place orders.)
